The Veterinary Patient Access Report

The Veterinary Patient Access Report

July 2, 2026

What 384 locations did with 568,309 patient calls in 2025. 69,227 of those patients walked away without an appointment. Fewer than 2 in 100 ever got a callback. Here is what the data says about why — and what to do about it.

From the CEO

You book 8 in 10 returning clients. Fewer than half of new ones.

Across 384 veterinary practice and group locations in 2025, Patient Prism analyzed 568,309 patient calls. 195,186 were real booking opportunities. 69,227 of those patients walked away without an appointment.

Here is the pattern. You book roughly 80% of returning clients. You book fewer than half of new-patient opportunities. The patients you lose are overwhelmingly the ones you have not met yet, and they walk for reasons you can do something about. 68% were still deciding or trying to find a time — a coachable conversation and a scheduling problem, not a dead end.

Then there is the part that should keep an owner up at night. Of the 69,227 patients who walked away, fewer than 1,000 ever got a callback. The recovery engine is barely switched on. Every one of those patients already found you, already called, already showed intent. They are the cheapest new clients in the practice, and they are walking out the door uncontacted.

Patient Prism gives the front desk a way to fix both. 100% of patient interactions scored against your custom QA rubric, not the 1–2% traditional QA catches. Voice Fingerprint attributes every call to the right agent automatically. Coaching gets specific: not “improve conversion,” but “Maria is at 100% on greetings and 47% on the new-client close. Fix the close.” When a patient walks away, RELO delivers a recovery playbook to the front desk in near real-time, tied to the exact reason the patient did not book.

This is not conversational AI. That category is myopic — it looks at the call and stops there. Access is bigger than the call. Patient Prism connects what happens on the phone to what marketing is sending in and what operations can actually deliver. That is rare.

The Patient Access Funnel

What happens to every 100 patient calls

Roughly 3 in 4 calls connect. About a third are real booking opportunities. And almost no one who walked away ever came back — because almost no one was asked to.

Reasons Not Booked

Four reasons patients do not book

Most of them, you can do something about.

68.1%

Coaching + Calendar

Consideration & Timing

Still Considering · Scheduling

This is where vets lose patients, and most of it is winnable. Still Considering is a coachable sales conversation; Scheduling is a calendar problem. Together they are two-thirds of every lost opportunity. The fix is new-client close technique and more available appointment times, not a bigger ad budget.

17.6%

Service mix + Targeting

Service Fit

Service Unavailable · Out of Area

The patient needed a service you do not offer, or lives outside your service area. Service mix and marketing targeting. The front desk cannot create capacity that is not there.

9.9%

Value framing + Payment

Financial Barrier

Price · Insurance

In veterinary this is a price conversation, not an insurance one. Price outweighs insurance nearly 5 to 1 — the reverse of human healthcare. That makes it a coachable objection: value framing, payment options, and treatment sequencing the front desk can be trained on.

4.2%

Staffing + Routing

Connection Failed

Voicemail · Disconnect · Hang Up on Hold

The call ended before it finished — voicemail, disconnect, hold hangup. Vets connect better than most of healthcare, so this is small. What is left is staffing, routing, and after-hours coverage. Operational, not coaching.

82%

Attributable patient calls came from the Google ecosystem

For vets, Organic search leads at 34%, Google Ads adds 28%, and Google My Business another 21%. Direct calls — often loyal existing clients — made up 17%. Meta and social combined for under 1%. The front door is on Google, and every call dropped on the front-desk floor is marketing spend walking out the door.

1.4%

Of walk-aways got a follow-up call

This is the opportunity hiding in plain sight. 69,227 patients raised their hand and walked away in 2025. Fewer than 1,000 ever heard back. Every one of them already found you, already called, already showed intent. Recapture is the cheapest patient acquisition in veterinary medicine — and right now it is barely happening. RELO turns follow-up into a system: recovery instructions reach the front desk in near real-time, tied to the exact reason the patient did not book.
